By engaging to rent PhotoSpace (herein after referred to as the “Company”) photography studio you, the undersigned (herein referred to as the “Renter”), hereby state that you have read, fully understand and agree to be bound by the following terms and conditions.
1. Payment:
Renter will provide full payment for all reservations of studio space in US funds. Renter’s date will not be held until this payment is received and cleared. Payment is not refunded unless notice of cancellation is made at one week before Renter’s reservation date. Please see cancellations and postponements of reservation.
If the company must cancel Renter’s reservation, Renter will receive a full refund. Payment for Renter’s rental must be received before Renter’s reserved time begins or at the time of reservation. If Renter does not show within 15 minutes of any reservation without notification, it is considered a no show. No shows are not refunded, transferred, nor rescheduled and your reservation is forfeited. Company reserves the right to refuse reservations at its sole discretion.
Changes, Rescheduling & Postponements
Any request to change, reschedule, or postpone a booking is subject to the following terms:
• Requests made more than 48 hours before the scheduled start time may be rescheduled one time at no charge, subject to availability.
• Requests made within 48 hours of the scheduled start time will incur a rescheduling fee equal to 50% of the booking amount.
• No-shows are not eligible for rescheduling or refunds.
Inclement Weather: Our staff opens up the Studio during inclement weather so you will not have to cancel with your client(s). If the roadways are not safe to drive and we cannot open the Studio, there is no refund but you will be able to reschedule the same reservation hours to the next available reservation date for no additional charge.
2. Length of Use:
The minimum rental duration is two hours. Overtime: If a booking extends 5 minutes past the scheduled end time, while the renter is either still using or cleaning up the studio space, an extra hour will be charged. It is important to arrive on time, as the rental time begins promptly at the designated starting time and ends promptly at the designated ending time. If you require additional time and the studio is available, you may purchase additional time at the studio’s hourly rate before your scheduled end time. Please note that there are no exceptions to this policy, so kindly refrain from making requests for extended time beyond the designated rental period.
3. Terms of Use:
Use of our studio and our equipment is AT RENTER’S OWN RISK. Renter hereby waives rights to seek legal redress for mishaps, accidents, and/or loss while on our premises. Renter agrees to leave the studio and adjacent grounds in the same condition as they were when Renter arrived. Renters are solely responsible for any legal infractions Renter or members of Renter’s party make during the conduct of the shoot, be they in our studio or elsewhere on the grounds. This includes all other violations or citations, and legal action resulting from the conduct of the shoot, taken at whatever time. Renter agrees to hold harmless PhotoSpace. Its owner, agents, representatives, and contractors acting on its behalf for any loss, accident, or injury to Renter’s self or anyone who accompanies Renter while on our premises. Renter agrees to be solely responsible for the conduct and welfare of all persons accompanying Renter while on our premises. Renters are solely responsible for the safety and well-being of any party Renter engages. Renter understands that if the Company observes dangerous, pornographic, or negligent practices or activities the Company reserves the right to stop the shoot and require Renter and Renter’s party to leave immediately — HOWEVER, Company assumes NO RESPONSIBILITY to act in such cases. Renter agrees to hold PhotoSpace. Its agents, representatives, and anyone acting on behalf of Company completely harmless from any action, legal or otherwise, that results from Renter’s conduct. Renters are solely responsible for verifying that all models employed during Renter’s rental period are of legal age for the activities they are to be engaged in. Company has no responsibility to determine or verify the age of participants in the Renter’s activities but reserves the right to end those activities if it becomes aware that legal age violations are on-going. Renter agrees that a Company representative can be present in the studio at all times Renters are using it
4. Equipment:
Company agrees to provide equipment in good working order, but makes no special guarantees as to say equipment’s functionality or suitability for Renter’s purposes. Company is not liable for acts out of its control that affect the shoot, such as power outages, weather or emergencies. In such cases, the Company will refund a prorated portion of Renter’s payment if power outages happened.
5. Equipment:
- Standard Allowance: Each rental includes a total of 8 attendees (typically 1 lead photographer, 1 assistant, and up to 6 additional guests, models, or clients).
- Large Groups: Groups exceeding 8 people must request written permission at the time of booking. A Large Group Fee of $100 per hour for the duration of the booking.
- Responsibility: The Renter is solely responsible for the conduct, safety, and compliance of all attendees with studio rules.
6. Event Policy
PhotoSpace welcomes small events, workshops, and private gatherings with the following conditions:

Pre-Approval Required: All events must be pre-approved in writing by the Company.

Insurance: For public events or those involving third-party vendors (caterers, decorators, etc.), proof of liability insurance naming PhotoSpace as additionally insured may be required.

Noise & Music: Volume must be kept at a reasonable level to avoid disturbing neighboring tenants.

Food & Drink: Light refreshments are permitted with prior approval. Alcohol is prohibited unless special arrangements and permits are provided.

Security & Safety: The renter is responsible for ensuring a safe environment for all attendees. Any damage or excessive cleaning required after an event will result in additional charges.
7. Miscellany:
This Agreement incorporates the entire understanding and agreement between the Client and the Company. Any modifications of this Agreement must be in writing and signed by both parties. Any waiver of a breach or default hereunder shall not be deemed a waiver of a subsequent breach or default of either the same provision or any other provision of this Agreement. The laws of the State of Tennessee shall govern this Agreement. The parties have read both this entire Agreement, agree to all its terms, and acknowledge receipt of a complete copy of the Agreement signed by both parties. The person signing below shall be fully responsible for ensuring that full payment is made pursuant to the terms of this Agreement.
8. Cleaning
Clean up after yourself! Studio cleanup must be completed by the end of the rental period.
We kindly ask that you respect others and leave the studio in the same condition as when you arrived for your shoot. This includes sweeping or mopping the floor and taking out any garbage. The floors can become dirty easily, so please make sure to spot mop them after you are finished. A mop for dusting and mopping is available in the restroom.
A cleaning deposit of $60 for every 2 hours of rental is required. To receive your deposit back, it is necessary to leave the studio in the same condition as it was received. If the studio is not returned to its satisfactory state prior to the rental period, a clean-up fee of $250.00 will be assessed.
9. Damage
- Liability & Equipment: The Renter assumes full financial responsibility for any damage, loss, or theft of Company property or equipment occurring during their booking. This includes the full cost of professional repair or the current retail replacement value if the item is no longer serviceable.
- Premises & Surfaces: The Renter is liable for any damage to the physical studio, including spills, wall scuffs, floor marks, or stains on furniture and fixtures.
- Backdrop Integrity: The use of liquids, oils, paints, or staining agents on studio backdrops is strictly prohibited. Violations will result in a charge for the full replacement cost, including taxes and expedited shipping.
- Strictly Prohibited Items: To maintain studio cleanliness, animals/pets, glitter, confetti, and oils are strictly prohibited. A $250 professional cleaning fee will be automatically applied if these items are used without prior written authorization.
10. Prohibited Items and Activities

No Alcohol, Drugs, or Smoking: Engaging in any activity at PhotoSpace while under the influence of alcohol or drugs is strictly prohibited. Smoking is also not allowed within the premises. If evidence of smoking, including scent, is found inside the space, a cleaning fee of $300 will be assessed to the renter.

Music: Please keep the volume of music at a reasonable level to ensure a comfortable environment for all.

No Weapons: Weapons are not permitted in PhotoSpace Studio without written consent from PhotoSpace.

No Pornography: Photography, videography, and/or audio of explicit sexual acts are not permitted at PhotoSpace.

Misconduct: Any form of misconduct, including causing a nuisance to other clients, mistreating PhotoSpace staff, engaging in illegal activity, or causing destruction/vandalism to PhotoSpace equipment or facilities, is strictly prohibited.
11. Children
All children must be supervised at all times
12. Flame, Fire or Pyrotechnics:
Open flame, fire and pyrotechnics are prohibited at all times inside the facility and within the grounds of PhotoSpace.
13. Renter responsibility:
The renter is solely responsible for all activities conducted by their party within the studio or premises. This includes any infractions of the agreement, as well as any associated fee assessments.
We strongly encourage the renter to seek appropriate usage agreements and model releases for all individuals participating in the photoshoot. It is important to ensure that all parties involved are aware of and consent to the terms and conditions. A generic model release document can be found here.
14. Membership:
14.1. PhotoSpace Membership to the following benefits:
Discounter rate hourly rates compare to regular studio rate
Rollover hours (One month of unused hours will roll over to next month).
Card door access
Memberships are for individual use only and are non-transferable or splittable.
We expect Members to submit and maintain accurate and current user information in connection with their
Memberships. Such information includes name, address, email address, and telephone number.
14.2. Membership Fees
Membership signing up fees, the Renter must pay first and last month on the sign of this agreement.
Memberships are paid in advance for service on the 1st day of each month.
Membership dues are paid by member monthly (credit card, debit card, PayPal or CachApp)
Membership fees are non-refundable. We may change the Membership fees at any time.
Any extra hours that not covered by Membership will be billed at the regular Studio rate.
14.3. Membership Cancellation; Termination
Once a Membership is established, it is the member’s responsibility for dues shall be continued until member notify PhotoSpace about the cancellation in writing. Until we receive notice of membership cancellation, members remain responsible for all dues. If Member fails to notify PhotoSpace about cancellation, last month will be paid by Signup payment. Membership will be cancelled and access to Photospace will be revoked.
You have the right to cancel your Membership at any time.
We may terminate your Membership, including any associated accounts, without notice, for any reason in our sole discretion, including without limitation our belief that continued use of such Membership would violate any provisions of this Agreement, applicable law, or otherwise be harmful to our interests. In the event of any such termination, you will not be entitled to a refund of your membership fee.
If a Member has an outstanding balance on their account without a cancellation notice, the member will not be able to book the studio until all dues are paid.
